Digital School

DigitalSchool is a school management system that compiles attendance for each class, the timetable, substitute classes, morning assembly delays, a complete student file, and readily available forms into a single record for administration, teachers, and parents. It also includes a teacher's logbook: a personal logbook for each teacher, with or without their school.

Daily Attendance: • Attendance is recorded for each class in four categories: present, absent, late, and excused, along with the class subject and a note for each student when needed.

• An alert is generated if a classmate saves the same class. Only those with "Edit Attendance" permission can edit saved attendance.

• Students late for morning assembly are recorded for all classes or a single class, with immediate recording of each entry and daily review.

• Attendance is tracked by day: absent, late, and excused students are recorded for all classes in the school or a single class, along with classes whose attendance was not recorded.

• Each student's attendance is recorded daily, along with the subject of each class.


Timetable and Substitution System
• A digital timetable for each class, created lesson by lesson or imported from an Excel file on the computer. Each teacher can view their lessons in "My Timetable."

• Absence and Substitution Board: This board displays the lessons of the absent teacher, the most suitable substitute for each lesson, and assigns the substitute directly.

• Teachers can request and accept a substitute teacher's request. The administration reviews each substitution.

• Staff are notified of absences, substitute assignments, and lesson substitutions.

Student File
• A comprehensive file for each student: attendance, behavior, medical record, special needs, disciplinary procedures, and parent information, with independent access for each section.

• Positive and negative behavioral observations, disciplinary procedures record, and days served.

• Special Needs: A record for students with special needs and tracking of each case.

Printing and Sharing
All records are ready on paper with school letterhead and page numbers, with preview, sharing, and printing capabilities from your phone:

• Attendance: Daily class attendance sheet, daily school attendance report, weekly or monthly attendance summary, student attendance record, and list of students late for morning assembly.

• Students: Complete student file, behavior report, emergency card, and class roster.

• Notices and Records: Disciplinary action notice, suspension notice, and records for students, staff, parents, and special cases.

School Management
• Students and classes for grades 1-12, with all records searchable from a single screen.

• Import students from Excel, Word, and PDF files, with automatic column matching and class verification before import, and multiple classes from a single file.

• Import staff from an Excel file.

• School days, number of periods, and subjects as defined by the school, with the option to add specific subjects.

• Navigate between academic years and review records from previous years.

Roles and Permissions
• Accounts for administrators, teachers, and parents, each with its own interface. • 19 functional roles, including school principal, vice principal, teacher, department head, social worker, and nurse, with additional roles added by the school.

• 18 permissions defined by the school for each role: who records attendance, who modifies it, who accesses and modifies medical records, who manages substitute teaching, and others.

• A single school account owner holds all its permissions, and ownership cannot be transferred to another person.

• Each school's data is independent of other schools' data.

Teacher's Logbook
A logbook for each teacher, with or without their school:

• Students' records in Excel, Word, or PDF format, or by pasting a list of names.

• Attendance for each class and each student's attendance percentage.

• Grade record for quizzes, assignments, projects, participation, midterm and final exams, term total, and any bonus points.

• Follow-up logbook: Notes on students with reminders on the day of the lesson.

• Classroom map showing student seating arrangements and a drawing of seats for students to be assigned one by one.

• Lottery for students to be assigned seats. • Weekly schedule with class times and daily classes displayed in two formats: “Daily” and “Dashboard.”

• Grade sheets, attendance records, and student reports are ready to print, and the entire workbook can be exported to Excel.

Your workbook is private: no other school or user can see it, and it will be deleted along with your account.

For parents:
• One parent account for all their children: each child's daily attendance, subject for each class, behavior notes, and class schedule.

On a computer:
The same account works from a web browser at app.digitalschoolq8.com, with the daily schedule, active statuses, and tracking of students with the most absences over the last 30 days.

Getting started in three steps:

1. Create the school from the app or web browser, specifying the school days, number of classes, and subjects. The creator then becomes the school account owner and receives a unique code.

2. Add students and classes manually or from an Excel, Word, or PDF file.

3. Linking staff and parents: Each enters the school code and their own unique code issued by the administration, linking their account to their record.
